Conference Team Coordinator
Summary: The responsibility of a Conference Team Coordinator is to lead a Conference Committee Team (subset of Conference Committee) in the development of annual conference sessions and to act as the communication conduit for the team.
Term: Conference Team Coordinators serve a one-year term and can be reappointed for successive terms.
Compensation: Conference Team Coordinators do not receive compensation for their services but may be reimbursed for expenses.
Duties and Responsibilities of Conference Team Coordinators
Attending Meetings:
- Attend regularly scheduled conference planning teleconferences
- Participate in calls with the Conference Co-Chairs to discuss your team's status and any communication, organizational or team member issues
- Attend two weekend meetings requiring travel on a weekday (January and March)
- Lead team calls and the team meeting (in person) in January
- Communicat team information at Joint Officers' Meeting in March
- Attend the annual conference and pre/post-conference planning meetings
- There may be special or ad hoc meetings called if circumstances warrant
Coordinating Sessions:
- Assign specific sessions for team members to develop
- Communicate with other teams in cross-pollination of ideas
- Coordinate the collection of team content and deliverables within the conference planning calendar
- Assist team members in finding the appropriate speaker for specific sessions and coordinate speaker information for your team
- Report all session information to the Conference Co-Chairs and Conference Coordinator
Recruiting Members:
- Serve as an ambassador for the organization
- Attend ILTA regional and peer group events, seeking out and soliciting new membership when appropriate
- Work with officers, other volunteer leaders and staff in educating active members about the benefits of ILTA membership in order to retain members
Qualifications and Skills Required of Conference Team Coordinators
Qualifications
- At least five years' experience working in legal technology
- Attendance at one or more ILTA annual conferences
- At least one year as a conference team member (general or peer group)
- Advanced knowledge of legal technologies used in law firms or law departments
- Passion for developing an exceptional educational program for ILTA members
- Constructively suggesting areas for improvement with possible solutions
- Willingness to commit time required (10-15 hours per month)
- Willingness to work within the prescribed conference planning structure
- Willingness to accept direction from Co-Chairs or staff as required
- Willingness to at all times to act as a reflection of ILTA’s core values
- Organization’s willingness to support member’s ILTA volunteer role
- Experience:
o Managing groups of people
o Managing projects
o Conducting meetings (in person and conference calls)
o Analyzing and documenting processes and problems and suggesting solutions
