Conference Vice President (Co-Chair) 2013-2014
Summary: The Conference Co-Chair is responsible for the educational content of the annual conference; selection and leadership of the conference committee; development of the educational program structure and oversight of educational session development; chairing planning meetings; reporting; coordinating with ILTA BOD, Officers, Conference Committee and Staff. A Conference Co-Chair is an Officer of the corporation.
Term: Conference Co-Chairs serve a two-year term. The first year will be in the junior role, learning from the senior co-chair and ILTA Staff. The second year will be in the senior role, mentoring, coaching and leading the junior co-chair.
Compensation: Officers of the corporation do not receive compensation for their services but may be reimbursed for expenses.
Duties and Responsibilities of Conference Co-Chairs
Conference Planning:
- Lead the educational program planning process within the structure provided
- Suggest and implement improvements to the educational program and planning process
- Manage the conference committee and inspire team members
- Communicate in person, on the phone and through email messages with team members, ILTA Officers, Board of Directors and staff
- Execute ILTA’s educational program goals for the annual conference
- Coach and mentor team members
- Problem-solve throughout the educational program planning process
Attending Meetings:
- Participate in conference planning meetings requiring travel in some instances on a weekday (approx. four a year)
- Attend the annual conference and pre-/post-conference planning meetings
- Participate in regular meetings (generally weekly) by voice and/or video
- There may be special or ad hoc meetings called if circumstances warrant
Recruiting Future Leaders:
- A responsibility of Officers is to identify and mentor future leaders
Recruiting Members:
- Serve as an ambassador for the organization
- Attend ILTA regional and peer group events, seeking out and soliciting new membership when appropriate
- Work with other officers and staff in educating active members about the benefits of ILTA membership in order to retain members

Qualifications and Skills Required of Conference Co-Chairs
Qualifications
- At least five years experience working in legal technology
- Advanced knowledge of legal technologies used in law firms or law departments
- At least one year as a Conference Team Member and one year as a Team Coordinator
- Willingness to take direction from Board of Directors or staff when required
- Willingness to commit time required (15-20 hours per month)
- Willingness to work within ILTA structure, in cooperation with ILTA peer group and regional programs
- Willingness at all times to act as a reflection of ILTA’s core values
- Letter of approval from organization authorizing member’s ILTA volunteer role
- Experience:
o Managing or directing groups of people
o Directing projects
o Conducting meetings (in person and conference calls)
o Making presentations to groups (in person and conference calls) and public speaking
o Analyzing and documenting processes and problems, and developing solutions to enhance efficiencies
o Conducting interviews, selecting people to fit specific roles, providing orientation
Skills Needed:

- Team building skills – planning and facilitating regular team activities
- Organizational skills - keeping the team on task, meeting deadlines and managing the content development process
- Communication skills - communicating with team members, ILTA Officers, Board of Directors, staff throughout the planning process

- Dealing with volunteers – understanding the need to balance work lives with volunteer commitments and the pressures faced at work
- Understanding of ILTA's culture in ILTA volunteer role(s) – a good ILTA ambassador
- Passion for developing an exceptional educational program for ILTA members
- Assisting the team in executing ILTA’s educational program goals
- Coaching and mentoring skills - challenging team members to develop as leaders while serving as a role model and mentor
- Troubleshooting skills – understanding when to handle a situation with a team coordinator, team member or speaker, when to escalate to co-chairs or staff and showing maturity in minimizing impact and time of other team members to effectively resolve problems
