LegalSEC Summit 2023 Session Coordinators

PURPOSE:
The LegalSEC Summit is a two to three day event for technology professionals at every level who manage security, information governance and data privacy projects and initiatives in support of the practice of law, providing premier learning and networking opportunities developed by a team of peer volunteers led by the Summit co-chairs.

ROLE:
LegalSEC Summit Session Coordinators are ILTA members, industry participants and business partners who are information security subject-matter experts, passionate about elevating the level of ILTA education, and collaborating to develop educational sessions for the annual LegalSEC Summit. They work within the framework and areas of focus provided by ILTA’s Program Planning Council and LegalSEC Steering Committee to meet the goal of delivering the premier educational and networking information security event for the legal sector.

Each session coordinator will have direct responsibility for producing one or two educational sessions or workshops. The process includes initial idea creation; development of takeaways, learning objectives, delivery formats, speaker profiles; recruitment of speakers and facilitators, managing the development of session formats and content with speakers and facilitators. At the Summit they are expected to briefly introduce and monitor each of their sessions. They will also support their team in all activities and session development.


TERM:
LegalSEC Summit Session Coordinators serve a seven-month month term, starting in December and ending with an evaluation and final reports following the conclusion of the Summit, and is renewable subject to an annual interview/approval process.

The time commitment for this role averages approximately 6-8 hours a month, including attending weekly or bi-weekly conference calls between the kick-off of the process through the start of the Summit. Session coordinators are expected to attend the Summit and monitor their sessions.


TEAM COMPOSITION:
The team is comprised of the following roles:

  • LegalSEC Summit Co-Chairs
  • 10-18 LegalSEC Summit Session Coordinators 

In addition to these members, the Summit Planning Committee is supported primarily by the ILTA Education Operations Coordinator.

RESPONSIBILITIES:

  • Under the direction of the Summit Co-Chairs and ILTA staff, develop one or two educational sessions from inception to execution at the Summit.
    • Develop educational sessions for LegalSEC Summit: topic generation and development of learning objectives and takeaways; determine presentation format; develop a speaker profile and select the best speaker applicants; and participation and management of educational content development
  • Attend the Summit
  • Abide by ILTA's Conflict of Interest Policy

DUTIES:

  • Actively participate in weekly/bi-weekly planning committee conference calls
  • Suggest ideas for topics and speakers within the defined areas of focus of the Summit
  • Accept responsibility to shepherd sessions from topic idea to execution at the Summit
  • Select speakers for your session(s), working with staff to find the "right" speaker, following the Summit Speaker Rules and ensuring speakers agree to the rules
  • Follow the session development and speaker selection guidelines to shepherd your session(s)
  • Work within the planning calendar, meeting deadlines as required
  • Communicate timely with the Summit Co-chairs if any questions or conflicts arise
  • Communicate with the Summit Co-chairs and ILTA Staff with respect to the development of your session(s), escalating any issues or concerns as appropriate
  • Define the specific areas of focus and target audiences for your session(s), develop the final session title, description and takeaways
  • Determine the best format for each session and work with speaker(s) to develop content within that format (includes traditional and alternative formats)
  • Communicate regularly with selected speakers, ensuring they deliver content that matches the published information and provide conference presentations and takeaways
  • Work with the Planning Committee to develop content and select speakers across the entire slate of sessions
  • Actively participate in the SharePoint Teamsite
  • Ensure accuracy of published information related to your sessions
  • Evaluate speakers in session delivery phase
  • Attend a post-Summit call to provide feedback

QUALIFICATIONS FOR SERVICE:

Objective Criteria:

  • Current ILTA member, industry participant or business partner thought leader, who is an active ILTA365 sponsor and above. Industry participants or business partners applying cannot be in a sales, marketing or business development role.
  • Complete the ILTA Conflict of Interest Form
  • At least two years’ experience working in legal technology with a focus on security
  • Experience as a speaker, author, or regular e-group contributor (or other volunteer experience within ILTA or similar professional organization)
  • Ability to attend any in-person planning meetings
  • Ability to attend the LegalSEC Summit
  • Willingness to accept direction from the volunteer leadership and ILTA staff as required
  • Willingness at all times to act as a reflection of ILTA’s core values

COMPENSATION:
ILTA volunteer leaders do not receive compensation for their services but may be reimbursed for pre-approved expenses.
