COVID-19 Question of the Day #9 - Communication Tools

We recently introduced an initiative called the COVID-19 Question of the Day (QoD). These questions were developed based on content covered in our COVID-19 Global Roundtable and harvested from our eGroups. To provide you with quick access to all of the answers received on our QoD postings, we have aggregated the answers to each question into a blog post. We will also post summary documents in the Resource Library for the Disaster Recovery & Business Continuity and Open Public Forum Communities of Interest. Also, our next virtual roundtable will be on Tuesday, April 14 at 1:00 p.m. (Eastern Time) where we will continue to explore each of the QoDs in more detail! 

Summary:
  • Respondent organizations are communicating which tools are approved and providing links to training materials.
  • Communicate what tools you already have in place and then train on how to better leverage those tools.
  • Avoid purchasing bright shiny new communication tools when users are not leveraging the tools you already have in place.


How do your users know which communication tool (e.g., direct messaging, email, videoconference) to use for what purpose? 

  • We use WebEx to host audio video meetings; audio conferencing phone numbers to set up audio conference calls only.  We also use Cisco Jabber for informal instant messaging, and emails for formal communication. 
  • Communicating what tools they already have in place and then train on how to better leverage those tools.
  • If possible, avoid purchasing bright shiny new communication tools when they are not leveraging the tools you already have in place. Just because it is in the news does not make it the ideal solution for your firm. 
  • MS Teams – not plug and play. Some thought needs to go into deployment and security risks.
  • We are using LoopUp for conference calls and video conferencing at the moment.  We have communicated this to our users via email messages from the leadership which link to our Training materials for the product.   We have had requests to use other tools like Zoom and MS Teams.  We prefer that our users use LoopUp whenever possible, mainly due to security concerns.  We do not currently have a Direct Messaging tool approved and available for all of our users.  We do have some groups in Technology that have been using MS Teams for quite some time and continue to use it for Audio, Video, and Chat/Direct messaging.  Those who have been using MS Teams have had a much better experience than those using any other tools.
