OUTLOOK TIPS TO SPEED UP EVERY DAY TASKS
Most of us live in Outlook every day, but listed below are a just a few tips that make those everyday Outlook tasks a little quicker.
Navigation Tips
Quickly Navigate between Mail, Calendar, Contacts, Tasks and Notes with shortcut keys:
Mail: Ctrl + 1
Calendar: Ctrl + 2
Contacts: Ctrl + 3
Tasks: Ctrl + 4
Notes: Ctrl + 5
Calendar Tips
- Do you wish to create a calendar appointment in exactly 2 weeks' time or need to find out when Independence Day falls in 2015?
- Press Ctrl + G and in the date field, type "2 weeks from today" or "Independence Day 2015" and the calendar immediately jumps to the appropriate date.
- For those that travel frequently or work with colleagues in other time zones and need to quickly plan a meeting at an appropriate time, configure an additional time zone in your calendar:
- File, Options, Calendar, Time zones. Check the box to add an additional time zone. Name the location and select the appropriate time zone.
Mail Tips
- Ctrl + Enter to send a message
- ESC key to close a message window
- Copy any text from your clipboard and press Ctrl + V while still in Inbox view. A new message immediately opens with the pasted text in the body of the email.
- Avoid distractions and limit desktop notifications to only the most important emails from those people who matter!
- Under File, Options, Mail, Message Arrival, remove the check next to Display a Desktop Alert.
- Then create a new Outlook rule to display a desktop alert from specific people
- Make a calendar appointment from an email in your Inbox in a second.
- Drag and drop the email from your Inbox onto the Calendar folder at the bottom of the Navigation Pane. A new calendar appointment opens, containing all the relevant details from the email in the body of the window. Just set the date and time required and Save.
