Hello!  Our firm is working to revamp our existing process for closing inactive matters and I wanted to see what ideas or best practices you can share about how you are handling this process.

    • What processes, policies, and/or systems are you using to proactively close inactive matters?
    • Are you automatically closing matters based on certain criteria?
    • Do you provide reports or dashboards to lawyers to review and mark matters for closure?  If so, what systems are you using to facilitate this?

Thank you, in advance, for your feedback!
    Mary

    Hi Mary,

We have an automated process via our time and billing system.  It identifies dormant matters (18 months of inactivity, with some exceptions based on matter type), and sends an email to the billing attorney, alerting them that the identified matters will close in 7 days unless we receive additional input from them.  The attorney receives an additional notification confirming the matter has been closed after the 7-day period.
