PURPOSE:
The Volunteer Operations Committee oversees the operational side of the ILTA volunteer experience by creating processes, procedures, and volunteer role descriptions to support the organization’s volunteers.
ROLE AND RESPONSIBILITIES:
The co-chair's role is to lead the Volunteer Operations Committee, and includes:
• Participating in the Volunteer Council to collaborate and cross-pollinate planning across the committees
• Creating and implementing overall strategy with Council Co-Chairs to ensure best use of available resources
• Ensure ILTA volunteers are successful by providing necessary documentation and resources
• Implement any organizational changes to volunteer structure
TERM:
Two-year terms renewable for up to three consecutive terms; renewable subject to selection process. January 1 to December 31
COMMITTEE DUTIES:
• Attend meetings of the Volunteer Operations Committee
• Identify tasks, issues, and items requiring involvement of the Volunteer Council
• Complete and update position descriptions for all ILTA volunteer positions, working with the Volunteer Development Committee to ensure professional development opportunities are reflected therein
• Complete and update volunteer resource documentation including volunteer manual, council guide, and volunteer web pages
• Participate in volunteer selection process to ensure selections are fair, position-appropriate, and result in a broad diversity of members in leadership roles
• Evaluate, recommend and implement updates to volunteer structure, organizational charts, and position descriptions
• Contribute to volunteer application and onboarding process to ensure volunteers are aware of selection process and resources available to them
• Identify and draft needed resource and process documentation to aid volunteers with understanding job duties, organizational structure, process, organization culture and staff resources
• Identify and implement processes or structures needing modification to meet the needs of international volunteers and members
CO-CHAIR DUTIES:
• Prepare for and lead meetings of the Volunteer Operations Committee
• Attend and participate in scheduled meetings of the Volunteer Council
• Report plans and activities of the Volunteer Operations Committee to the Volunteer Council to ensure overall alignment with other committees
• Identify tasks, issues, and items requiring involvement of the Volunteer Council
• Oversee completion of and updates to position descriptions for all ILTA volunteer positions, working with the Volunteer Development Committee to ensure professional development opportunities are reflected therein
• Oversee completion of and updates to volunteer resource documentation including volunteer manual, council leadership guide, and volunteer web pages
• Oversee volunteer selection process to ensure selections are fair, position-appropriate, and result in a broad diversity of members in leadership roles
• Evaluate, recommend and implement updates to volunteer structure, organizational charts, and position descriptions
• Contribute to volunteer application and onboarding processes to ensure volunteers are following fair selection processes and aware of resources available
• Identify needed resource and process documentation to aid volunteers with understanding volunteer role responsibilities, organizational structure, processes, organization culture and staff resources
• Identify and implement processes or structures needing modification to meet the needs of international volunteers and members
QUALIFICATIONS FOR SERVICE:
Minimum Criteria:
• Active ILTA member, business partner or industry participant
• Complete the ILTA Conflict of Interest Form
• Volunteer experience, either within ILTA or similar professional organization
• Ability to accept direction from the volunteer leadership and ILTA staff as required
• Ability at all times to act as a reflection of ILTA’s core values
• Ability to lead a team and work within a team environment
Preferred Skills:
• Project management experience, especially documentation of structures and processes
• Effective interpersonal communication
• Strong writing skills
• Familiarity with ILTA’s organizational structure
• Ability to prioritize tasks to meet deadlines
• Ability to respond to shifting priorities
• ILTA volunteer experience

COMPENSATION:
ILTA volunteer leaders do not receive compensation for their services but may be reimbursed for expenses.
